Job Description

The Senior Bids and Proposals Specialist assists the Team Lead in day-to-day operational management within the Bids and Proposals function. This includes involvement in strategy execution, working with major pursuits and proposal managers, and providing end-to-end proposal assistance, training, and guidance to junior team members.

  • Lead / Assist on region-specific must win pursuits and manage complex compliance requirements
  • Contribute to and lead Go /No Go and green light analysis / readiness to bid assessment in partnership with capture / bid managers; update CRM data as needed to maintain accuracy
  • Contribute to pre-RFP proposal planning, Four Rules win strategy and message, and ensure client issues and discriminators in deliverables.
  • Build positive relationships and support team formations on pursuits
  • Contribute, write and edit key draft proposal content such as executive summaries or cover letters
  • Develop content plan for proposal or provide templates to writing team with specific requirements/compliance or messaging guidance
  • Facilitate and organize content for milestone and color reviews, manage recovery and implementation of comments and finalization of documents and compliance
  • Collaborate with graphic designers on design and custom graphics or layout. Support final and edit layout in Word, InDesign, or other programs and follow branded templates and coordinate final production
  • Conduct client or industry research as needed
  • Serve as a champion for specific client/portfolio or sector of the business line and contribute to new content.
  • Coordinate with subcontractors to gather data required and provide technical guidance
  • Participate at pre-bid meetings with bid or capture manager to build knowledge or external relationships
  • Apply technical knowledge and work with senior members of the team in managing complex pursuits and developing process improvement initiatives
  • Assist the Team Lead in managing team workload and performing quality checks on output of junior members of the team prior to submission to stakeholders and clients
  • Address critical and unique issues, identify risks, and propose ways to prevent occurrence of similar issues and concerns
  • Lead and support key improvement projects and provide guidance and technical expertise to junior members of the team

Qualifications

  • Candidate must be open for early morning shift to support ANZ region (6am to 3pm).
  • Candidate must be open to hybrid setup/2x to 3x a week office work (AECOM's Freedom to Grow initiative)
  • Bachelor’s degree in Communications, Journalism, Business, Marketing, or equivalent combination of experience and education
  • 5+ years of Bid experience, preferably within a professional services firm in a similar industry
  • Advanced proficiency in MS Office tools such as Word and PowerPoint.
  • Understanding of graphic design and an eye for communicating content visually – can effectively use our brand guidelines and work with our corporate identity.
  • Skills in Adobe Creative especially InDesign would be highly regarded
