Job Description

AECOM has a unique opportunity for an energetic administration assistant to provide support to our Rockhampton office. This is a dynamic, part-time role where no two days will be the same. You will provide high level project support, administration and coordination to the team, ensuring smooth and effective operations.

What will a day in this role may look like:

  • Schedule meetings and coordinating travel arrangements for internal stakeholders whilst assisting with arranging group events (both in and out of office.
  • Assist with the onboarding of new employees including systems, policies & procedures
  • Collaborating with other teams within broader AECOM such as the office administration support network, finance, facilities, safety, office supplies & IT to expedite business needs for individuals & teams.
  • Assisting with the booking of meeting rooms and projects to manage and coordinate processes from concept to completion & liaising with stakeholders on behalf of the project team to support the effective delivery
  • Other day to day admin tasks as required such as; mail (incoming and outgoing), office maintenance register, manual timesheets, office and kitchen supplies, credit card reconciliations.  

Qualifications

What are we looking for from you?

  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel & PowerPoint) with the ability to pick up new systems efficiently.
  • Efficient, highly organised with solid time-management skills.
  • Friendly demeanour with the ability to build strong relationships with stakeholders, both internal and external.
  • Strong written, verbal and interpersonal communication skills.
  • A flexible approach with the ability to prioritise tasks and manage conflicting priorities.

Please note that this is a part-time role. There is some flexibility around how this is set up, we anticipate 25 hours per week.
