Job Description
As Contractor Management Administrator you will provide services as required and your responsibilities will include but not limited to:
- Adhere to all health and safety practices and requirements.
- Data Accuracy: Participate in system information checks to maintain data integrity in the CMS and related platforms, such as SAP Fieldglass.
- System Coordination: Capture onboarding/off-boarding data per CPM procedures and ensure the correct upload of scope-of-work requirements.
- Audit Support: Conduct data audits to ensure system data is up-to-date and compliant with company standards.
- User Support: Serve as the system superuser, supporting site system users and resolving technical data entry issues.
- Contract Documentation: Maintain accurate and compliant contract documentation and support preparing purchase requests and required documents.
- Supplier Queries: Address suppliers' administrative queries in collaboration with the contractor management team.
- Meeting Support: Facilitate team meetings by supporting agenda setting, logistics, and minute-taking.
- Process Improvement: Identify opportunities for improving contract management processes and contribute to performance-enhancing initiatives.
- Contract Tracking: Track contracts and collaborate with procurement/legal teams to improve contract coverage from 20% to above 80%.
- Performance Reporting: Generate reports on contract management metrics and escalate any risks or issues to the Section Manager.
- Training Support: Help train users and team members to navigate systems and adhere to contractor management processes.
This role is in the Contractor Performance Management (CPM) at a Band A3 level reporting to Contractor Management Advisor.
Qualifications
- Grade 12 or equivalent
- Relevant Administrative qualification on NQF4
- SA Drivers Licence
Experience
- 3-5 years of relevant administrative experience in mining/engineering operations and systems, preferably in a contractor management environment.
- Understanding contract management principles, CPM (Contract Performance Management) procedures, and organisational standards.
- Understanding of Emergency procedures.
- Proficiency in using MS Office, SAP, and SORD.
