We are hiring for an Administrative Support Assistant for our corporate office in Tacoma WA. This is a day’s position.

Auto Warehousing Company has been in business since 1962, we are the largest full service auto servicing and processing company in the nation. AWC provides a variety of services for auto manufacturers, including loading and unloading new vehicles onto railcars, installing accessories, body repair, and general vehicle inspection and processing.
Essential Duties:
• Assists in the coordination of overall administrative activities for the office
• Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image
• Maintain good rapport with facility Terminal Managers, other Administrative Support personnel, and Corporate Office Associates
• Assist Finance department with preparation of deposits, accounts payable entry, statement review and new vendor set up
• Assist Benefits department with newsletters, mass mailings, form letters and eligibility enrollment
• Greet visitors, maintain register, issue badges and maintain security awareness
• Operate office equipment such as postage meters, copier and fax
• Maintain office supply inventory, kitchen supplies and orders as needed
• Organize and coordinate conference room schedule and organize refreshments for meetings when appropriate
• Prepare and modify documents including correspondence, reports, drafts, memos and emails
• Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors when applicable
• Enter expenses into reimbursement system when applicable
• Maintain front desk procedures including contact information, directions and frequently requested company information
• File documents accurately according to general standards
• Assist with preparing presentation materials which may include documents in Word, Excel, PowerPoint and Publisher
• Assists in the maintenance and alteration of office and equipment, as well as layout, arrangement and housekeeping of office facilities
• Assists with the purchase of office supplies, office equipment, etc., for the corporate staff in accordance with company purchasing policies and budgetary restrictions
• Distribute incoming mail, fax and correspondence
• Receive and process deliveries
• Process over-night shipment/mail for staff
• Maintain cleanliness of staff break room (coffee, dishwasher, fridges)
Additional Responsibilities:
• Must be able to read and interpret communications
• Perform data entry as required
• Must be able to work in a team environment and be a self-starter
• Assist Office Manager and Customers as needed

Working Environment/Conditions:
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit, stand, stoop, walk, use hands (to finger, handle or feel), reach and pull with hands and arms, and the ability to life up to 25 pounds.

Qualifications
Minimum Requirements:
• Thorough knowledge and demonstrated skills with MS Office; including intermediate to advanced Excel and intermediate Word skills
• Knowledge of office practices, procedures, and equipment
• Must possess good written and verbal communication skills
• Ability to meet and deal effectively with customers, associates, and general public
• Ability to function effectively under pressure
• Organized and detail-oriented
• Able to react to change productively and handle other essential tasks as assigned
• 1 year experience in administrative work, customer service, and basic accounting practices or vocational/college education equivalency
• High school diploma or equivalency
• Valid driver’s license; good driving record
