Job Description
CEO is seeking a Youth Strategies Operations Manager to lead and oversee the day to day administrative and organizational duties for the unit. This person will have an understanding of the big picture operations of the unit and ensure the details of compliance, data collection and reporting and all processes and protocols are followed in a timely way. To do this work, the Manager will oversee contracting, data management, communications, budgeting, requisitions, reporting and other identified processes for the unit. The Manager is a cross functional role collaborating daily with the Youth Strategies team and the agencies contracts, data, and fiscal teams. This person will be responsible for important processes for operating programming, hiring, and training staff and AmeriCorps members and budgetary operations.
Essential Functions
· Responsible for annual and day-to-day operational components of YS programs in collaboration with YS team, contracts, and finance team at CEO (budget requests, ordering, payment to vendors, contracting process, RFP management, etc.)
· Responsible for reporting progress towards outcomes and overall YS provided services internally to CEO contracts and data team and additional funders and partners as requested
· Collaborates with cross agency and city-wide departments for best possible implementation and collaboration of programming and administrative operations
· Supervises YS Student & Family Coordinator and supports/oversees and regularly audits data collection methods and progress towards outcomes
· Responsible for the on and off boarding process and time keeping of Promise Corps AmeriCorps members
· Supports YS College and Career Manager in execution of AmeriCorps member recruitment cycle through processes and communications
· Responsible for collaborating with CEO Communications Manager on all YS Communication efforts for marketing, outreach, promotions, and branding
· Other priority projects or initiatives as identified within the agency
Competencies, Knowledge, Skills and Abilities
A successful candidate is a dynamic, committed individual with strong organizational and interpersonal skills. Ability and commitment to work beyond traditional working hours and schedule is required. Candidates must possess the following experience and skills:
· Experience with administering budgets, processing contracts/RFP’s, procurement processes and programmatic administrative duties
· Significant experience collecting and analyzing quantitative data
· Experience with AmeriCorps programming and/or past AmeriCorps program participant preferred
· Knowledge of social media platforms and website creation and content management
· Strong attention to detail
· Knowledge of college and career preparation objectives and standards
· Capable of identifying roadblocks ahead of time and problem solving effectively
· Flexibility to shift projects, timelines and duties as needed
· Identifies opportunities to expand or take advantage of at the benefit of the unit
· Experience executing processes and systems with multiple parties and stakeholders
Qualifications
· Bachelor's degree or equivalent 3-5 years of work experience in operations accepted
· Experience managing budgets, data collection and analyzation, procurement processes or relevant systems required
· Knowledge of or experience working directly with youth in urban communities preferred
· Must be able to provide proof of eligibility to work and clearance of FBI, child abuse and PA state criminal background checks
· A valid PA Driver’s license required
Supervisory Responsibilities
· May often be directly responsible for students and at times Promise Corps AmeriCorps members
