Job Description

As the Workspace Lead, you will be responsible for Workspace strategy and management for region East Asia.

This position sits within the People Organization function and together we will drive and optimize the workplace culture playing a part to employee engagement. We want to enable leaders to understand the needs of their teams while empowering them to response effectively. Our desired state is for the office to become future ready, allowing great team engagement, encouraging meaningful collaborations and where everyone belongs and can be themselves.

 

Key responsibilities

Office Management

  • Develop strategy, framework and tolls that will empower managers to take ownership of employee engagement initiatives.
  • Transform the office into Future Workspace ready, proactively engaging with global and local stakeholders in work environment improvement initiatives.
  • Maintain optimal standards are maintained across the office spaces as well as managing vendors, supplies and tech inventory.
  • Proactively liaise with all functions to support and facilitate employee engagement events.
  • Plan the budget for office expenses and investments and collaborate with the Central Controller.
  • Oversee scheduling, organizing meetings, preparing documents and presentations, managing project timelines, and assisting in the implementation of key business strategies alongside top management.
  • Ensure health & safety, sustainability, employee relations and legal requirements are fulfilled and coordinated with respective function responsible.
  • Regularly maintain and ensure all centralized tools are being updated e.g calendars, phone & email list, etc
  • Ensure all office administrative tasks such as invoices are processed in a timely manner.
  • Manage and negotiate with vendors to ensure we have the best price for service provision and supplies.

Employee Engagement

  • Design and execute both on a strategic and operational level, creative Fika/ employee engagement programs with clear connection to our purpose and business outcome.
  • Drive and upskill managers, as well as functions involved, on our new colleague on-boarding framework, ensuring a great colleague experience right from day 1.
  • Gather and address colleague feedback to identify areas of improvement and work with the People Org team to implement solutions.
  • Organize, coordinate and execute internal events, meeting and celebration.
  • Manage and liaise between colleague and leadership including internal communications relating to office events, policies, updates, announcement and colleague initiatives.

Health and Safety

  • Promote and maintain workplace well-being, including wellness programs,ergonomic workspace and emergency support.
  • Respond to emergency situations and provide necessary support for colleague safety.

Besides your personality we see that you have:

  • Have at least 3-5 years of experience managing a dynamic, vibrant and growing workspace for 150-250 colleague.
  • Experience in strategy and proposal writing, program designs and proficient in effective corporate communications.
  • Proficiency in Microsoft suite of applications especially Powerpoint, Excel, Sharepoint, Teams and Outlook.
  • Comfortable and confident to be the 'face' of our workspaces as well as genuinely passionate in engaging colleagues and building excellent relations with employees.
  • Service oriented mindset and behavior as well as experienced in stakeholder management.
  • Resilient and versatile, not afraid to handle push back with managers and stakeholder when needed.
  • Self-driven and motivated, able to tackle challenges and make decisions with minimal guidance.
  • Well balance between strategic way of working and day to day operational matters with a proactive approach, as well as actively seeking collaboration cross functionally.
