Job Description

The Chief Registrar for the Institute of Culinary Education maintains the academic records of all students and develops strategic plans to manage registration activities, data collection and dissemination, and all compliance reporting functions.  The Registrar will work with other administrators to manage class matrix scheduling to optimize utilization of resources.  Other responsibilities will include recordkeeping of all classes, determining students’ graduation eligibility, and preparing transcripts.  The Registrar will lead and manage the Registrar Department staff. 

Specific Job Responsibilities:

  • Maintenance,  process, security integrity and administration of all official student records and the registration process for all diploma programs
  • Work with administration and enrollment services department to review and revise procedures to perform Registrar duties and responsibilities effectively and efficiently.
  • Consult with Deans regarding scheduling of classes.
  • Coordinate Scheduling for all career students.
  • Maintain data  for curriculum, class schedules, instructors, class capacities.
  • Coordinate the registration activities and registration data entry.
  • Maintain student registrations, class schedules, attendance records and grades
  • Prepare State and Federal reports, as well as reports regarding grades, SSCR, IPEDS, SAP, ACCSC, Enrollment data, Attendance data and other reports as requested.
  • Adhere to FERPA, state and federal, I-20 and VA regulations.
  • Process students for graduation.
  • Recruit, manage, train and evaluate the staff of the Registrar’s office.
  • Lead initiatives as determined by the Director.
  • Problem solves the research, analysis and resolution of student disputes as they related to records and registration.
  • Collaborate with administrators, deans, faculty, IT and counselors  to facilitate and improve services to  students, including catalog and registration/ records policy questions.
  • Manages the dissemination of grades and facilitates make-up examinations.

Qualifications

  • Bachelor’s  Degree required, Advanced degree a plus.
  • Minimum of 7 years related work experience in a college or propriety school registrar’s office; ACCSC accredited preferred.
  • Experience in both clock-hour, non-term, as well as credit, term institutions
  • Experience leading a team of registrar staff members.
  • Proficient in Microsoft suite of products including Outlook, PowerPoint, Word and Excel; experience with CampusVue software a plus.
  • Must possess a strong sense of urgency and attention to detail.
  • Excellent communication skills both written and verbal; strong presentation and interpersonal skills.
  • Proven ability to work independently at times and within a team.
  • Demonstrated ability to prioritize multiple tasks to meet deadlines.
  • Demonstrated ability to interact in a collaborative manner with other departments and teams.
  • Strong critical thinking and problem solving skills required.
  • Must have the ability to work some evenings and weekends.
