Job Description
To handle all administrative work and to ensure the smooth running operation of the department.
- Performs the duties within the framework defined by the chain and hotel norms and by internal regulations as supervised by the Director of Sales & Marketing.
- Ensures smooth running operation of the Division’s administrative functions.
- Co-operates with all departments for smooth running operation.
- Assists the Director of Sales and Marketing in organizing the filing system of the Division. Organizes the recording system for all in-coming and outgoing correspondences.
- Handles all typing work required.
- Assists in the dispatch and collection of correspondence in hotel.
- Handles all incoming telephone calls and take messages and follow up.
- Prepares and checks all incoming communication message such as facsimile and email messages.
- Assists in the packing of materials when required, e.g. Hotel brochures, sales kits etc.
- Issues on a monthly basis for a further details and status of residential meeting groups to sales persons, so that if confirmed correct information to be re-entered, if cancelled such space can be released.
- Updates production reports of Corporate & Travel Agents monthly, quarterly and yearly.
- Assists the Director of Sales and Marketing in issuing Travel Agents Contract Rates, questionnaire as requested.
- Ensures that all complaints are reviewed and investigated by Director of Sales & Marketing and follow-up action is initiated by Sales persons.
- Assists to Director of Sales & Marketing is familiar with the operation and application of the hotel’s computer/data processing system and make sure client’s database is updated.
- To keeps all activities as a record such as Incentive Program, Party or sales blitz.
- Keeps himself/herself well informed about the operations especially in key departments (Front Office, Housekeeping, F&B, and Banqueting etc.)
- Sets, in conjunction with the Director of Sales & Marketing and Sales Manager, currents rates as charged by the hotel.
- Closely observes matters pertaining to competition (sites, prices, services offered on a regular basis – quarterly or more often if need to be).
- Promotes the hotel as often as possible through entertaining, conduction, site inspections and presentation etc., of the hotel.
- Be updated with hotel promotion, information related.
- Pays a visit to potential accounts in view of entering into contracts with them, especially commercial accounts.
- The Assistant to Director of Sales & Marketing may be called upon the undertake activities outside his/her own area and to publicize hotels other than his/her own for specific projects and/or programs.
- Defines precisely guest requirements and ensures that the guest services offered corresponds effectively to their requests.
- Provides after-sales service and in particular to ensure all guests complaints are taken seriously and discussed with the respective departments if necessary.
- Receives in the hotel any important guests whom he has approached.
- Negotiates prices with the clients and certified by DOSM.
- To issues and confirms proposals in writing as a record.
Qualifications
Education:
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- A Master’s degree or relevant certifications in Sales and Marketing would be a plus.
Experience:
- Minimum of 5 years of experience in sales, with at least 2 years in a managerial role in a corporate sales environment, preferably in the hospitality industry.
- Proven track record of achieving sales targets and driving business growth.
- Strong understanding of corporate sales strategies, including lead generation, prospecting, and closing deals.
Skills and Knowledge:
- Excellent communication, negotiation, and interpersonal skills.
- In-depth knowledge of corporate sales processes and client relationship management.
- Ability to analyze market trends, competitor activities, and adapt strategies accordingly.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.
- Strong organizational and time management skills, with the ability to handle multiple priorities.
