Job Description
This Facilities Coordinator role focuses on workplace seating management: the role is equal parts project manager, data analyst, and relationship builder. The person in this role will maintain seating records in Office Space, Square’s workplace management tool, perform capacity analysis, and manage cross-functional seating projects in collaboration with a wide range of internal and external partners.
The person in this role will also support our Facilities Team with project management work in the SF Office, as it relates to workplace moves, adds, and changes. They will be also be coordinating and scheduling vendors for refresh projects, and leading smaller projects of their own. In addition to focus area work, they will also support core office and facilities operations and lend a hand where needed in any big project the Experience team takes on.
The individual who will succeed in this role is a creative problem solver with high attention to detail, ability to prioritize work to balance multiple projects and deadlines, and a proactive approach to tackling issues. Because the role includes significant collaborative analytical work, ideal candidates will have demonstrated proficiency with Excel and GSuite, and the aptitude to quickly master new technical tools and platforms.
Qualifications
You Will:
Manage Office Space: maintain seating records; communicate with external and internal partners; facilitate new hire seat assignments; perform periodic audits.
Manage physical seating: facilitate departure desk cleanups; plan, coordinate, and execute all team seating moves/adds/changes (MAC).
Act as a resource on seating management and Office Space for Square’s global Office Management team.
Support the Facilities Team with construction management projects in the SF office; lead smaller scope work.
Manage furniture vendor relationship, including procurement and repairs.
Manage moving vendor relationship; coordinate + oversee on-site work.
Maintain office signage, new adds and maintenance/ repairs
Respond to facilities service requests as assigned.
Perform a variety of other Office Team operational work and projects as as needed.
You Have:
2-3 years coordinator experience in office, facilities, or a relevant field combining customer service with operational work.
Demonstrated intermediate proficiency with Excel or other spreadsheet tools; familiarity with GSuite.
Vendor management experience.
Exposure to construction project management; experience managing projects of moderate scope.
Excellent communication skills, strong orientation toward customer service.
Attention to detail and the drive to produce results.
