Job Description

Are you a skilled and motivated accounting professional ready to make an impact?

We are seeking a dedicated Finance Manager to join our Finance & Administration (F&A) Team in Japan. In this role, you will play a key part in supporting and enhancing the administrative functions of our Japanese entity, ensuring compliance and driving financial efficiency.

Responsibilities:

The responsibilities associated with this role will evolve over time, in line with the planned implementation of the ERP system and the transition of all accounting transactions from the external accounting firm to an in-house operation. The specific timeline for the implementation is yet to be determined.

Prior to the ERP Implementation

Financial and Accounting Oversight

  • Process, verify, and manage supplier invoices and staff expenses through our        internal processes and then forwarding on to our external accountants/auditors
  • Process, verify, and manage customer invoices and staff through our internal processes and then forwarding on to our external accountants/auditors
  • Approving the supplier payment list each month and approve the payments on the online banking software
  • Collaborate with external accounting firms to ensure accurate bookkeeping, tax compliance, and financial reporting.
  • Support month end closing, Intercompany reconciliation, budgeting, cash flow management, and financial planning.
  • Maintain strong relationships with banks and auditors.

Legal Coordination

  • Act as the primary liaison between the company and legal advisors.
  • Ensure compliance with local laws and regulations, including labor laws, contracts, and corporate governance.
  • Organize and maintain company legal documents, including contracts, licenses, and agreements.
  • Co-ordinate and collaborate with the legal advisors, financial advisors and Group employees to ensure that the upcoming split of the Japan legal entity into two legal entities is completed successfully.

Payroll Administration

  • Work closely with external payroll service providers to ensure timely and accurate salary processing.
  • Manage employee records and ensure compliance with labor regulations.
  • Handle benefits administration and monitor employee leave balances.

Office Administration

  • Oversee daily office operations to ensure smooth functioning of administrative tasks.
  • Manage office supplies, equipment, and vendor relationships.
  • Maintain relationships with landlords, insurance companies, leasing companies, and more.

Additional Responsibilities During the ERP Implementation

  • Complete training for you and any direct reports in all the necessary modules on the new ERP system
  • Set up a training plan with the accountants/auditors to understand all the processes they follow from receiving the information from Tomra to producing the monthly accounts pack.
  • Collaborate with colleagues to ensure all the above processes can be transferred to Tomra staff and systems and that the new processes are documented.
  • Collaborate with colleagues and external advisors to ensure a data migration plan is in place.

Additional Responsibilities Post ERP system Go Live

  • Manage accounts payable and receivable processes for the entity.
  • Process, verify, and manage supplier invoices through our ERP system, ensuring accuracy and timely processing.
  • Oversee and reconcile Balance Sheet to support smooth financial operations.
  • Administer the company’s vehicle fleet, ensuring compliance and cost efficiency.
  • Posting all accounting journals including VAT reporting, bank postings, and payroll.
  • Maintenance of accurate financial records 
  • Prepare and provide detailed month end financial reports for the entity and the TOMRA group, contributing valuable insights for decision-making.

Qualifications

 

  • A recognised financial qualification or equivalent.
  • Relevant minimum 5 years’ experience in a similar accounting role, with a solid understanding of accounting principles.
  • In-depth knowledge of Japan fiscal regulations (essential).
  • Proficiency in Japanese and English, both written and spoken.
  • Experience with ERP systems, Microsoft Office, particularly Excel.
  • A proactive approach to tackling challenges and a passion for continuous improvement.
  • Ability to work independently while fostering a collaborative and inclusive team culture.
