Job Description

The incumbent is responsible for overseeing the implementation, configuration, and maintenance of HR systems and technologies.
This role combines HR system administration with project management responsibilities, ensuring that HR technologies are optimized and aligned with the organization’s strategic goals.
The individual will manage HR system projects, lead cross-functional teams, and provide support for system integrations and troubleshooting.

Key Responsibilities: HR System Administration:
1. System Configuration and Maintenance:
o Administer and maintain HR Applications (e.g., HRIS, Payroll, Recruitment, Talent Management, CHATBOT and Learning Management Systems).
o Manage HR Applications to align with business processes and user needs.
o Manage regular updates, patches, and backups to ensure system stability and security.
2. User Support:
o Provide technical support to HR teams and employees regarding HR systems.
o Troubleshoot and resolve issues related to HR systems.
o Develop and deliver user training / guides to ensure employees are proficient with the HR system tools.
3. Data Management and Reporting:
o Oversee HR data accuracy, integrity, and consistency within systems.
o Generate standard and custom reports for HR metrics, audits, and compliance.
o Ensure compliance with data privacy regulations (e.g., GDPR, HIPAA).
4. System Integration:
o Collaborate with IT teams to ensure seamless integration of HR systems with other enterprise systems (e.g., Finance, ERP).
o Manage interfaces between HR systems and third-party tools.
5. Vendor Management
o Collaborate with vendor teams to ensure seamless integration of HR systems with other enterprise systems (e.g., Finance, ERP).

Project Management:
1. Project Planning and Execution: o Lead HR system implementation, upgrades, or migrations, ensuring the project is completed on time and within budget. o Develop detailed project plans, timelines, and milestones. o Coordinate project tasks, resources, and schedules for successful delivery.
2. Stakeholder Management: o Collaborate with key stakeholders (HR, IT, leadership teams) to define project objectives, deliverables, and timelines. o Communicate project status, risks, and issues to stakeholders regularly. o Ensure all project requirements are captured and prioritized.
3. Risk and Issue Management: o Identify potential risks or issues during the project lifecycle and suggest mitigation strategies. o Resolve conflicts or obstacles that may affect the project’s progress.
4. Process Improvement: o Evaluate existing HR system processes and recommend improvements or optimizations. o Implement best practices for HR technology management and ensure continuous process enhancement

Qualifications

1. Education: o Bachelor’s degree in Human Resources, Information Technology, Business Administration, or related field. Master’s degree is a plus.
2. Experience: o Proven experience as an HR System Administrator or HRIS Administrator. o Experience in managing or leading HR technology projects, from conception to completion. o Proficient in Ms. Excel & Power Point Presentations o Knowledge of HRIS platforms (e.g., Workday, SuccessFactors, Oracle HCM, SAP) and related modules. o Familiarity with project management methodologies (e.g., Agile, Waterfall).
3. Skills: o Strong technical knowledge of HR systems, databases, and related software. o Expertise in project management, including project planning, execution, and delivery. o Strong analytical, problem-solving, and troubleshooting abilities. o Excellent communication and interpersonal skills, with the ability to work effectively across different departments. o Experience with system integrations and data migration.
4. Certifications (Preferred but not required):o Project Management Professional (PMP) or Agile Certification. o HRIS Certification (e.g., HRCI, SHRM-CP) or related HR certifications. o IT certifications relevant to system administration.
