Caretaker/Office Maintenance Manager

Job Description

This role is responsible for ensuring the smooth operation of the Company’s office, general facilities maintenance, health & safety and governance. The successful candidate will be based in our Ipswich office. 

Key Tasks

  • Ensure visitors sign in and out and have required visitors pass
  • Managing any deliveries and making sure they go to correct employees if required
  • Ensure all consumables are stocked
  • Ordering general supplies for the Company
  • Organising travel and accommodation
  • Booking catering for internal and external client meetings.
  • Managing Ipswich office car parking.
  • Answering the telephone and directing calls as required.
  • Housekeeping duties as required including setting up refreshments for internal meetings and washing up.
  • Support offshore procurement team for all Ipswich office related purchases
  • Manage Site Security & own Manual
  • Manage access control system, creating and deactivating all passes
  • CCTV Management and Monitoring
  • Perform minor onsite repairs
  • General outside maintenance ensuring all pathways and accesses to building are clear and free of risk
  • Scheduling contractors for major repairs as required
  • Liaising with external suppliers i.e. security alarms, vending and building maintenance.
  • Discussing maintenance concerns with the employer and communicating these to Maintenance Workers
  • On-call and responding to emergency maintenance needs
  • Point of Contact for Health & Safety (First Aiders/ Fire Marshals etc)

Reporting directly to Head of Claims & Operations. This role will have contact with all levels within the Company and will also liaise with external bodies.

Qualifications

Essential

  • Educated to GCSE Level or equivalent
  • Good communication and interpersonal skills
  • Good organisational skills
  • A thorough working knowledge of MS office applications. 
  • Must be numerate
  • Minor repair knowledge (plumbing/ painting etc)
