The Executive Assistant provides comprehensive support and assistance to the Vice Presidents (VPs). Responsibilities include:
Job Responsibilities
- Deliver personal administrative support to the VPs within the designated area.
- Perform general clerical duties such as photocopying, faxing, mailing, filing, and ordering office supplies.
- Answer telephone calls and confirm appointments while adhering to proper telephone etiquette.
- Organize and manage calendars and meeting invitations.
- Greet guests on the Casino/Hotel floor when necessary.
- Coordinate and arrange travel plans.
- Facilitate accommodation and entertainment arrangements for guests upon request.
- Input reservations into Opera and process check-outs daily, including Salesforce tasks.
- Confirm all room bookings, restaurant reservations, credit lines, and any other guest requests for the following day.
- Create and update itineraries for guests.
- Handle confidential files, materials, correspondence, and related documents.
- Gather information to prepare reports, manuals, agendas, and other relevant documents.
- Review and process expense reports.
- Prepare and draft correspondence, daily guest arrival lists, and any other correspondence as requested.
- Communicate with Executives and line management to gather or relay pertinent information.
Qualifications
Job Requirements
- At least a minimum of three (3) years of experience in an administrative support role, with a minimum of two (2) years in an Executive Administrative support position
- Experience in the Hotel & Casino industry with knowledge of Opera and Patron Management systems
- Special language requirement: Must be proficiency in reading and writing in Spanish is required
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, and Outlook) is required
- Exceptional organizational, interpersonal, and administrative skills, with excellent attention to detail
- Exposure to sensitive information requires considerable tact, diplomacy, and judgment
- Ability to thrive in a fast-paced, multi-tasking environment
- Full-time position requiring flexibility in schedule, with the ability to work various days and times
- Strong communication skills are essential
- Must be able to meet deadlines efficiently and work independently without constant supervision
- Must be 21 years of age or older to obtain and maintain a valid Nevada Gaming Registry is required
