Job Description
Reporting to the Director, Human Resources & Recruiting, the eScholar Office Manager/ Benefits Assistant should be hands-on, detail oriented, flexible, and have some knowledge of commonly used HR concepts, practices and procedures.
OFFICE MANAGEMENT
- Answer the main phone line and answer the door to greet and help route visitors (partners, vendors, job candidates).
- Retrieve the mail and distribute to appropriate parties.
- Serve as main contact with building management regarding repairs, cleaning, HVAC.
- Coordination and communication for physical office space expansion project.
- Be the point of contact for facilities vendors such as locksmiths, plumbers, cubicle vendors, etc.
- Manage the purchase and stocking of kitchen pantries and copy room supplies.
- Manage distribution of staff and visitor access badges with internal IT dept. and external security professionals.
- Staff event planning – monthly in-office lunch and assist with Summer Cookout and Winter Party.
BENEFITS ADMINISTRATION
- Main point of contact for general staff benefit questions; communication and follow up with benefits broker and carriers for complex questions
- Confirm new and existing employee ("census") enrollment in selected benefit plans - medical, dental, life, LTD, AFLAC each month.
- FMLA research, compliance and administration
- Assist with yearly benefits open enrollment process and implementation of new benefit plans/ changes.
- Work with Finance dept. to make sure invoices for all insurance benefits are correct and all employee payroll deductions are correct.
GENERAL HR RECORDKEEPING
- Hardcopy and electronic filing of personnel records.
- Periodic hardcopy file scanning, file purging and shredding.
- Updating organizational charts, staff lists and phone lists.
- Creating new hire packets in preparation for new hire orientation.
- Reviewing personnel files to ensure completeness and accuracy of records, ex: I-9's.
- Entering employee Paid Time Off (PTO) days into tracking spreadsheet.
- Gathering signed enrollment forms and other documents from staff members as needed.
- Ensuring that all necessary paperwork is completed by staff members as part of the new hire process.
- Other duties as assigned.
Qualifications
Required Skills and Qualifications:
- Bachelor’s degree.
- Excellent problem solving and organizational skills.
- Experience handling and safeguarding sensitive and confidential documents.
- Ability to exercise sound judgment including a commitment to confidentiality.
- Computer competency with MS office programs, particularly MS Outlook, Excel and Word.
- Two plus years professional experience as a HR Assistant, Benefits Assistant or Admin in HR Department
